Donor Privacy Policy

Access to donor information is limited to authorized staff, board members, and volunteers involved in donor stewardship.

Information We Collect

We collect and maintain the following types of donor information:

  • Contact information: name, organization (if applicable), mailing address, phone number, and email address
  • Donation details: dates, amounts, designations, and payment method
  • Engagement and communications: information shared through correspondence, donor surveys, participation in events, or other interactions connected to a donor’s support or relationship with DCF

How We Use Donor Information

We use donor information to:

  • Process contributions and issue tax acknowledgments
  • Communicate with donors about their gifts or potential future support
  • Share updates on DCF’s programs, events, and fundraising efforts
  • Comply with applicable laws and regulatory requirements
  • Recognize donor contributions publicly, with the donor’s permission

Donors may request to update their contact information, limit the types of communications they receive, or be removed from our contact list at any time. We are committed to honoring these preferences promptly and respectfully.

How We Share Donor Information

DCF does not sell, rent, trade, or otherwise share donor information. Donor information is only shared with third parties in limited circumstances:

  • When required by law (e.g., IRS filings)
  • With trusted service providers who assist with donation processing or database management, and only to the extent necessary
  • If the donor has given DCF explicit permission to share their information

Internal Access to Donor Information

Access to donor information within DCF is limited to:

  • Members of the Development Committee (Fundraising Committee)
  • DCF staff
  • Board members involved in donor outreach or acknowledgement
  • Individuals/organizations sending tax letters on behalf of DCF

The full Board may receive aggregate giving data (e.g., total dollars raised, number of donors, and giving ranges) but does not receive a full list of individual donor names and amounts unless donor consent is provided.

Donor Recognition Preferences

Donors may choose to remain anonymous. DCF will honor all such requests in public materials, communications, and recognition lists.

This policy aligns with the ethical fundraising practices set forth by the Association of Fundraising Professionals (AFP) and the Donor Bill of Rights.
